# Email list cleaner

> Paste an email list or choose a file to remove duplicates, tidy every address, and flag invalid, role and mistyped addresses. Runs in your browser, no sign-up.

Paste your list or choose a file. The cleaner removes repeats, tidies every address, and flags the ones that are invalid, go to a team inbox or look mistyped. Then copy the clean list or download it as a CSV. It runs in your browser, and it doesn’t check whether mailboxes exist.

Use the tool in a browser at [/tools/email-list-cleaner](https://www.acquisity.ai/tools/email-list-cleaner). It is free and needs no sign-up.

## What the cleaner does

- Removes repeats. Capitals don’t count, so Sam@Acme.com and sam@acme.com are one address.
- Tidies each address: lower case, with no spaces, quotes, brackets, mailto: or a name in angle brackets around it. Sam Lee <Sam@Acme.com> becomes sam@acme.com.
- Takes an address out of the text around it, like Sam Lee sam@acme.com or Email:sam@acme.com, and asks you to check it. When a space looks like it broke the address itself, as in john smith@acme.com or sam@acme.co m, it leaves the entry out instead of guessing. That includes any two-letter word right after an ending like .com, .co or .edu, as in sam@acme.com is my email, because endings like .com.in and .co.at are real.
- Leaves out entries that aren’t valid addresses and says why, such as no @, a space, a domain with no dot, or a mailto: link that isn’t a valid link, like one typed with spaces.
- Flags role addresses like info@, sales@ and support@, which reach a team rather than a person. You choose whether to keep them.
- Flags likely typos of common email domains, like gmial.com or hotmail.con, with the fix. You choose whether to use it.
- Reads a spreadsheet: paste the sheet or choose a CSV, and it takes the cells with an address in them, skipping a header row that names the email column.

## What it doesn’t check

It doesn’t contact any mail server, so it can’t tell whether a mailbox exists, is full or accepts every email. A correctly written address can still bounce. An email verification service checks that before a big send.

It runs in your browser. Your list isn’t uploaded or saved.

## Why a clean list matters

- Bounces hurt your sender reputation. Inbox providers watch how much of your email bounces, and a high rate sends more of it to spam.
- Typos bounce or reach the wrong place. One wrong letter in gmail.com is enough.
- Role addresses reach a shared inbox, so a cold email there rarely finds the right person, and some email services won’t send to them at all. The [email permutator](https://www.acquisity.ai/tools/email-permutator) lists the addresses that person is likely to have.
- Repeats send the same person the same email twice. To leave out people you’ve already emailed, [compare the new list with the one you sent to](https://www.acquisity.ai/tools/compare-two-lists).

## Questions

### What does an email list cleaner do?

It tidies a list of email addresses before you send: it removes repeats, fixes formatting, leaves out entries that aren’t valid addresses and flags the ones worth a second look.

### Does it check that email addresses exist?

No. It checks how each address is written, not whether the mailbox is real, because that means contacting the mail server. Use an email verification service for that.

### Is my list uploaded or stored?

No. The cleaner runs in your browser. The list you paste or the file you choose is read on your computer and never sent to us or saved.

### How do I remove duplicate emails from a list?

Paste the list and choose Clean list. Each address is kept once, the first time it appears, whatever its capitals. Addresses that differ in other ways, like j.doe@gmail.com and jdoe@gmail.com, stay separate, because to most systems they are different addresses.

### What is a role address?

An address for a job or a team rather than a person, such as info@, sales@, support@ or noreply@. Several people may read it, or nobody. For cold email, a named person is almost always better.

### Can I clean a CSV or Excel file?

Yes. Choose a CSV file, or copy the cells from Excel or Google Sheets and paste them. The cleaner takes every cell with an address in it and skips a header row that names the email column. The download has only the clean addresses, so keep your original file for the other columns. Excel files themselves (.xlsx) can’t be read directly, so save them as CSV first.

### Why do some addresses in the CSV start with an apostrophe?

Any cell in the CSV downloads that starts with -, +, = or @ gets an apostrophe (') in front, so spreadsheets don’t treat it as a formula. An address can start with -, + or =, so a few addresses get one. Copy gives every address exactly as written. If your sending tool keeps the apostrophe, remove it.

### How big a list can I clean?

Up to 10 MB of text at a time, which is well over 100,000 addresses. If you go past that, we clean the first part and tell you.

## Uploading this list to a campaign?

On paid plans, when you upload leads to a campaign, Acquisity skips repeats, invalid addresses, people on your blocklist and people already in another campaign you haven’t archived, and shows you what it skipped. [Cold Email Agent](https://www.acquisity.ai/agents/cold-email).
